How to configure Gmail to POP Datarealm email
Gmail is a well loved and very useful email service. Great news - If you have a Gmail account, you can configure your Gmail client to check and send mail for your Datarealm email accounts.
How to configure Gmail to POP Datarealm email
To access these settings, please click on the Gear icon in the upper right-hand corner of your Gmail interface. From the drop-down menu, please select Settings -
On the next screen you will be presented with a series of tabs. Please select Accounts and Import -
Now, please look for the following options -
You will want to click Add a POP3 mail account you own. Upon doing so, you will be presented with a new pop-up window -
In this window, please enter your Datarealm email address. Please note that for the sake of this article, we are using the example address, user@domain.com. Once you have entered your actual email address, please click Next Step. The pop-up will change and you will be shown this -
Please enter the following information :
Username - Your complete Datarealm email address
Password - This is your Datarealm email address password. This password was initially set when you created your email account. It’s the same password you would use to access one of our Webmail programs
POP server - Your domain name or what is after the @ sign in your email address.
Port - Please make sure 110 is selected
Now consider the following options -
Leave a copy of the message on the server - Selecting this option will make sure that your messages are not deleted from the Datarealm server. Please be mindful, if you leave messages on the Datarealm server indefinitely, you will eventually run out of room in your inbox and have trouble receiving new emails. We recommend removing your messages from the server.
Always use a secure connection - Please leave this option unchecked.
Label incoming messages - This helpful feature allows you to label your incoming messages. This is a useful way of seeing the messages addressed to your Datarealm account in your Gmail inbox.
Archive incoming messages (skip inbox) - You can also use Gmail solely as an archive or backup. Use this feature and all retrieved mail will go straight to your Gmail's All Mail folder.
Once you have entered the above settings, please click Add Account. Your window will briefly show the message “Checking credentials. Please wait”. If you receive any errors or need help with this, please contact us.
If all goes well, you will see the following -
This is your chance to configure the SMTP or outgoing settings for your Datarealm account. Please keep the the YES option selected and click Next Step.
On the next screen, please type the name (personal, company name, etc) that you wish to appear on all of your outgoing messages -
You may also consider the “Treat as alias option”. We suggest unchecking this. Gmail describes this feature here - https://support.google.com/a/answer/1710338?ctx=gmail&hl=en&authuser=0&rd=1
You may also use this opportunity to select a different reply-to address.
Once you have added you name and made your selections, please click Next Step -
On this next screen, please enter the following :
SMTP server - smtp2.datarealm.com
Port - Please make sure 587 is selected
Username - Your complete email address
Password - This is your Datarealm email address password. This password was initially set when you created your email account. It’s the same password you would use to access one of our Webmail programs.
Please leave Secured Connection using TLS checked.
Click Add account. You have one more step! On the final window you will see this -
Gmail wants to be sure you have access to the the email account you have just configured and will send a verification message directly there. Retrieve this message and either click on the link provided or copy the verification number contained within, return to this pop-up window, paste in the code, and click Verify.
That’s it! If you have any questions or problems, please let us know.
Where is my mail?
If you have a significant amount of mail on our servers, Gmail will take some time (possibly a few hours) to gradually grab this mail.
If you are expecting new messages in a timely manner, please note that Gmail will only automatically check for new messages on the Datarealm’s server periodically, sometimes as infrequently as once an hour. You have no control of how often Gmail automatically checks for new email.
Please note, you can manually ask Gmail to Pop your email by going to Settings > Accounts and Import > Check mail from other accounts (using POP3) and the Check Mail Now link for your Datarealm email address.
Please let us know if you have any questions!
